Privacy Notice

1. Who is responsible for your data. If you are in the EU or EEA, the controller of the details you send through this site is Turnbull Services S.R.L., Mun. Constanța, Bd. Tomis nr. 46, et. 1, camera 15, jud. Constanța, 900657, Romania (Trade Register no. J2024000150132, CUI 49419592). If you are anywhere else, the controller is Turnbull Services, LLC, a Virginia limited liability company, 1616-B Hawthorne Park, Columbus, OH 43203, USA. The form asks whether you are in the EU or EEA so that your inquiry goes to the right company. You can contact us at hello@botgalaxy.ai.
2. We have not appointed a data protection officer. For any question about your data, contact us at hello@botgalaxy.ai.
3. What we use your data for, and on what basis.
   1. To reply to your inquiry and arrange the conversation. Where you contact us about a service for yourself or your own business, the basis is Art. 6(1)(b) GDPR (steps you ask us to take before a possible contract). Where you write for a company, the basis is Art. 6(1)(f) GDPR (our legitimate interest in answering business inquiries).
   2. To keep a record of our exchange so we can follow up and respond to questions or claims. The basis is Art. 6(1)(f) GDPR (our legitimate interest).
   3. To send you occasional emails about Bot Galaxy, only if you tick the optional box. The basis is your consent, Art. 6(1)(a) GDPR.
4. Our legitimate interests are answering business inquiries and keeping a short record of them so we can follow up and respond to questions or claims. You can object to this use at any time (see Your rights).
5. Who receives your data. We use service providers that process data for us under contract: Cloudflare (hosting this site, handling the form, and forwarding email sent to hello@botgalaxy.ai), Microsoft (the Microsoft 365 mailbox where inquiries are received), and Proofpoint (filtering incoming email before it reaches that mailbox). We also use an AI assistant service, under contract, to sort our inbox and draft replies for a person to review. Your inquiry is handled by the company responsible for it, as set out above. We do not sell your data, and we do not share it with advertising partners.
6. Transfers outside the EU and EEA. Cloudflare, Microsoft, and Proofpoint are based in the United States, and your data may be processed there. Where your data goes to them from the EU or EEA, we rely on the EU-US Data Privacy Framework (Cloudflare, Inc., Microsoft Corporation, and Proofpoint, Inc. are certified participants) and, where needed, the providers' Standard Contractual Clauses. Our AI assistant service may also process your data outside the EU and EEA. You can ask us at hello@botgalaxy.ai for details of any transfer and of the safeguard that applies to each provider.
7. We keep inquiry details for 12 months after our last contact with you if no engagement follows, and then delete them. If you become a client, we keep them for as long as the engagement and our legal record-keeping duties require. If you tick the optional box, we keep the record of your consent for 1 year after you withdraw your consent, and then delete it.
8. Your rights. You have the right to ask for access to your data, to have it corrected or erased, to restrict its use, and to receive it in a portable format where this applies. You also have the right to object at any time to our use of your data based on our legitimate interests.
9. If you tick the optional box, you can withdraw your consent at any time by replying to any of our emails or by writing to hello@botgalaxy.ai. Withdrawing consent does not affect emails already sent.
10. You have the right to complain to a data protection authority. In Romania this is the Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal (ANSPDCP), B-dul G-ral. Gheorghe Magheru 28-30, Sector 1, București, 010336, www.dataprotection.ro. You can also complain to the authority in the EU country where you live or work.
11. Your name, work email, company, and your answer to whether you are in the EU or EEA are needed so we can reply and send your inquiry to the right company. Without them we cannot answer your request. Ticking the optional box is up to you.
12. We do not make decisions about you based solely on automated processing, including profiling.

This site does not use cookies or similar technologies, such as local storage, and it has no analytics.
